Summary of Club Job Descriptions

 *Positions are held from July-June.

Executive Board Positions 

President – Preside over and formulate agenda for monthly General and Board meetings. Oversee the functionality of the club. Appoint all chairpersons and special committees with the approval of the elected officers. Be an ex-officio member of all committees. Sign all club documents and co-sign checks as needed. Prepare President’s message for newsletter and submit by deadline. In the event of an empty seat on the Board or vacant chair positions, it is the responsibility of the president to see that the duties are met, or by majority agreement of the Board, eliminate that function until the seat is filled.

 

Vice President – Assist the President with her duties and assume said duties in her absence. Coordinate monthly meetings by scheduling speakers or activities, and complete the follow-up necessary (i.e., obtain payment for speakers, send thank you notes). Secure location for board meetings.

 

Membership Administration – Keep current records (contact information and family statistics) of all members and prospective members.  Send introduction letter and membership application to prospective members.  Send an updated member list and separate prospective list in alphabetical order by email addresses to the Editor at the Editor's request (no more than once a month). Format club roster for web placement and forward to webmaster monthly.

 

Membership Services – Maintain contact with Membership Administration regarding new and prospective. Maintain contact with new and prospective members. Greet new and prospective members at meetings and club functions. Provide member updates (new members, births, membership news) to the Editor for publication.

 

Editor – Create a monthly club e-newsletter containing submissions by the officers and chairpersons. Every issue to include: meeting notice, president’s message, minutes of previous general meeting, treasurer’s report, membership report. Reports from the NCA rep, NOMOTC rep, and Research chairman should run as needed. Recipes, letters from members, safety recall notices, feature articles, etc., to appear periodically. Send out (via email) weekly event reminders and classified ads. The editor needs to have computer and email access.

 

Secretary – Keep a record of attendance and minutes of all general and board meetings and provide general meeting minutes to the Editor for publication. The Secretary is responsible for all club correspondence.

 

Treasurer – Handle all financial transactions and co-sign checks. Track all income and expenses and submit monthly reports to the President and Editor for inclusion in the newsletter. Formulate annual budget based on historical figures. Manages the income and disbursements for club fundraising activities and clothing and equipment sales.

 

Parliamentarian – Review and be familiar with the Bylaws and Procedures of the organization and ensure that they are followed. Responsible for changes and additions to the Bylaws, and communicating with the Board of Directors to enact changes. Oversee all Parliamentary issues in club business, and act as a mediator if a dispute arises.

  

Chair Positions 

Fundraising – Chairs short-term club fundraising projects, such as Tupperware, Current and Pampered Chef. Tracks orders and distributes product to buyers.

 

Event Coordinator – Recruits members to host monthly events. Provides information on events for the Editor to include in the newsletter and event reminders. Monthly events include: Mom’s Night In, Mom’s Night Out, First Year Friendze Playdates, Toddler/Preschool Playdates, Park Days in the summer, Library Days.

 

Historian – Takes photos at club functions and maintains club scrapbook, making it available for viewing at club meetings.

 

Hospitality – Coordinates refreshments at the general meetings; recruits members to provide refreshments. Maintains the Hospitality supply box, replenishing supplies as needed.

 

Librarian – Maintains club library and facilitates usage of it by members. Periodically submits book reviews to the editor for publication in the newsletter.

 

Meal Coordinator – Schedules meals for new moms and recruits members to provide meals.

 

Nominating Chair – Receives completed forms from members and recruits members to fill officer and chair positions for the upcoming year. May have assistance from others.

 

NCA Representative – Disseminates information about all NCA activities and projects, including state meetings. Compiles and tallies the individual members’ registration forms for State meetings, obtains club check and submits to the meeting registration chair by deadline. With Board approval, represents club at state meetings (registration fees paid). Provides report for club newsletter as needed.

 

NOMOTC Representative – Maintains contact with the National Organization. Submits dues to the National Organization on a regular basis with information received from the Membership Administrator, and obtains a check from the Club Treasurer. Submits periodic reports to the newsletter regarding the National Organization. Presents information from National mailings at club meetings. With board approval, may represent the club as a delegate at the National Convention (supported by club funds, if available).

 

Publicity/Community Outreach – Provides club brochures and business cards to area hospitals, pediatric and OB/GYN offices. Submits releases to local media regarding monthly meetings and special events. Maintains contact with local media, and searches for appropriate club publicity opportunities.

 

Research Chair – Presents research opportunities and findings to the club from NOMOTC and other organizations. Encourages members to complete research surveys. 

 

Webmaster – Updates club website on an ongoing basis.
